    Main Duties & Responsibilities

    Performs administrative and clerical duties in support of the department’s function and coordinates the department’s scheduled activities.

     

    Answer phone; take and forward messages, make calls to receive and give information; help to resolve department related problems within capabilities, maintain cooperative, polite and positive phone presence.

     

    Establish and maintain files and filing systems; may establish and maintain logs and various lists and other informative, department related documents.

     

    Enters orders to Caterpillar prior to designated cut-off time.

     

    Maintains cash monies kept in balance at all times.

     

    Receives payment or obtains credit authorization, completes daily transmittal logs of Cash/Check & Credit Card transactions.  Works with counter staff and Parts Manager to ensure outstanding cash sales still within company guidelines.

     

    Marks and stores parts in stockroom according to prearranged system.

     

    Safeguard confidential and propriety information; ensure against improper disclosure.

     

    Make appointments and reservations; set up and handle schedules; attend meetings as requested.

     

    Perform Department related data entry work; prepare and process related billings; parts inventory; receipting stock orders and process purchase orders.

     

    Receive document and properly code and pay invoices in a timely manner to ensure good relationships with our vendors.

     

    Assist customers and visitors.

    Qualifications

    3 to 5 years of experience in parts administration.


    Computer skills: dealer computer systems, Basic Microsoft Office applications.


    Must be able to comprehend, speak and write the English language.


    Must possess good interpersonal and communication skills.

     

    High School Diploma or related equivalent required.
