Main Duties & Responsibilities

Primary Job Role

 

Greets customers and visitors and directs them accordingly. Answers phones promptly. Takes and delivers messages to appropriate person. Coordinates all phone functions, maintenance, repairs, etc.

 

Distributes incoming mail to all departments. Collects/prepares outgoing mail for all departments.

 

Maintains office equipment and paper supplies. Coordinates repairs as needed. Orders all office supplies.

 

Distributes all purchase orders (PO's) and statements to the appropriate departments.

 

Provides administrative support to Sales Coordinators to include with filing, email, scanning and other sales related duties.

Trains with sales coordinators.

 

Maintains monthly sales report to send Thank You letters.

 

Makes necessary hotel and travel arrangements for division and vendor personnel.

 

Acts as Human Resource Liaison for the branch.

 

Performs other duties as assigned.

Qualifications

Education and Experience

 

Formal Education High School diploma or GED

 

Experience 1-2 years

 

Required / Credentials

 

Able to easily and effectively comprehend written material and communicate orally and in writing with employees and customers.

 

Proficient with using computer software: Windows, MS Word, Excel & Power Point. 

 

Must be able to comprehend, speak and write the English language.

 

Not Required but Highly Desired Criteria

 

Proficiency in iQuote, Lotus Notes and CRM.

 

Updating of Knowledge

 

Job requirements occasionally change requiring re-training to stay current every 3-5 years.
